Job description

As a Shareholder Administrator Assistant, you will play a crucial role in supporting the efficient operation of shareholder administration functions within our organization. Your responsibilities will include gathering and reviewing all Know Your Customer (KYC) and transaction documents, communicating effectively with fund clients and investors, creating trade packages, performing periodic reviews, preparing and distributing financial documents, processing payments, and monitoring cash activity across multiple bank accounts.


Key Responsibilities:

  • Gather and review all KYC and transaction documents to ensure compliance with regulatory requirements.
  • Communicate with fund clients and investors to address inquiries, provide updates, and facilitate smooth transactions.
  • Create trade packages, including signed-off checklists, and ensure accurate and timely submission.
  • Book and upload trades into the Mantra system, maintaining data integrity and accuracy.
  • Perform periodic reviews of shareholder accounts to identify and resolve discrepancies or issues.
  • Prepare and disburse contract notes, investor statements, financials, K1s, and ad-hoc notices as required.
  • Process payments, perform due diligence and callbacks, and create payment packages while maintaining confidentiality and security protocols.
  • Monitor cash activity across multiple bank accounts, including Northern Trust, Wintrust, Flagstar, FCI, FundBank, and others as added, to ensure liquidity and compliance with financial objectives.
  • Other task that maybe assigned from time to time.

Job requirements

  • Bachelor's degree in Finance, Business Administration, or related field
  • Previous experience in shareholder administration, financial services, or related industry (advantageous)
  • Knowledge of regulatory requirements and best practices in shareholder administration and financial transactions (advantageous)
  • Strong organizational, multitasking, and communication skills
  • Proficiency in Microsoft Office Suite and financial software systems
  • Ability to work independently and collaboratively
